The University System Office seeks a Business Process Solutions Architect to lead business process improvement projects, provide guidance in selecting the appropriate technology solution, and facilitate solution development with such technologies as iBPMS, machine learning, RPA, electronic forms, workflow tools, and integrations using a variety of methods while considering functional benefits, technical performance, risks, and schedule concerns. This position is broad in expectations, requiring an ability to envision solution offerings, facilitate the design/architecture of these offerings, manage development resources to deliver on the vision, and perform many of the go-to activities to bring this vision to life. This is 80% of the position. Secondary functions make up 20% of the position. They include: Participate in the development of methodologies and best practices for the business process improvement and automation projects (BPI/BPA). Develop and deliver training programs, seminars, and presentations based on BPI/BPA concepts, techniques, and methodologies. Collect data, analyze, and translate it into meaningful information and compelling recommendations to shape work at the appropriate level. Create and deliver high quality written and verbal reports in support of individual projects or the operations of the unit. Develop relationships with business leaders. Mentor team members and provide guidance to both project members and external project teams and team members. Perform operational tasks in support of AITS. This includes reporting, planning, documenting, application maintenance, and data collection and assessment.
Additional responsibilities include:
Discovery/value creation: conducts process automation high level assessments and process deep dives. Works with customers and technical subject matter experts to assess business needs, establish priorities, and determine options, risks, costs/benefits, and impacts. Performs business capability gap analysis and provides future-state models for various business units and functional areas.
Process modeling: Serves as functional analyst for process improvement technology solutions. Works with client SMEs to ensure complete picture and understanding, clarifies requirements, creates documentation, and bridges the gap between the client's desired process improvement and the process automation solution. Identify processes that are feasible for automation.
Serves as process solutions architect for technology solutions. Selects appropriate technologies based on and business requirements and process improvement project outcomes, creates high level design diagram and other artifacts necessary to communicate with developers, validates the solution meets client's process improvement objectives, assists with the development of process automation best practices and guidelines across multiple technology platforms.
Process improvement: serves as business process improvement facilitator, leads and facilitates process improvement initiatives and projects. This includes assessment, planning, event facilitation, and follow-up/sustaining for cross-functional teams in the use of process improvement methodologies to achieve operational excellence. Meets quality standards and facilitates production of expected deliverables during all phases of the event and life cycle. Documents business processes, analyzes process issues and requirements, and provides recommendations to solve process performance-related issues.
Performance management: improves performance management and efficiency that will support process designers' and process architects' daily activities.
Develops and delivers training programs, seminars, and presentations based on BPI/BPA concepts, techniques, and methodologies.
Relationship manager: Establishes working relationships with numerous business leaders, customers, and team members. Mentors and coaches peers and colleagues. Provides guidance on BPI and BPA topics and demonstrates thought leadership. Manages communications for BPI/BPA initiatives and projects. Drives communication strategy to include release management and product documentation.
Serves as project coordinator for process improvement and automation efforts as needed. This includes working with executive level sponsors and project staff from across the system.
Collects and analyzes data, helps maintain results, and assists with reports to support decision-making and continuous improvement. Translates data into meaningful information, makes conclusions, and makes recommendations to shape work at the appropriate level. Facilitates workshops with customer leaders and subject matter experts (SMEs) to obtain input and gain buy-in.
Performs related responsibilities as appropriate for a Business Process Solutions Architect.
Education and Experience Required
Bachelor's degree in business administration, management or a field related to position
Two years of professional-level accounting, managerial and/or business experience, including one year at an administrative level.
Three years of experience in technical project management; requirements analysis, business process analysis, or design; enterprise software solutions development; or enterprise architecture.
Demonstrated IT experience
Demonstrated experience managing multiple projects.
Experience designing and creating conceptual and technical presentations and reports.
(Experience may run concurrently.)
Six Sigma Green Belt, Black Belt, or Master Black Belt
Project management (PMI) certification
Certified business analyst (CBA) or business architect certification
Knowledge, Skills and Abilities
Strong computer skills with Microsoft Office products, particularly Excel, PowerPoint and Word.
Strong analytical, quantitative and problem solving skills. Ability to analyze information patterns, trends, and outliers to assess the strategic and tactical impacts on business.
Strong organizational skills with consistent attention to detail and deadlines. Ability to prioritize and manage work to critical project timelines in a fast-paced environment. Ability to thrive in a fluid, and at times, complex environment.
Excellent verbal, written, and listening skills, including ability to interact effectively across the organization, especially in situations requiring instructing, persuading, negotiating, resolving conflict, and advising. Ability to collaborate effectively with customers and cross functional groups. Must also be comfortable speaking in public to diverse audiences.

Demonstrated facilitation skills, including the ability to facilitate cross functional teams, manage change, and resolve conflict.

Knowledge of process improvement methodologies and tools, with a continuing willingness to learn. Experience working in dynamic, agile environments and achieving high impact results.

This is a full-time Civil Service Business Administrative Associate position appointed on a 12 month service basis. The expected start date is as soon as possible after June 1, 2020. Salary is commensurate with experience.
