Position Summary and Responsibilities
This position will be reporting to and supporting a Vice President who oversees a business area and functional organization, as well as the business Chief Engineer. You will also support senior personnel who work within both organizations and interact with multiple organizations throughout the company. This position requires a professional who is well organized, can multi-task, and has excellent communication skills.
Key areas of accountability include:
Supporting VP, CE and Direct Reports with travel, expense and meeting requests
Proactively managing the VP’s daily calendar and associated travel, minimizing conflicts and mitigating impact to the business
Coordinating events including customer reviews, luncheons, and company celebrations
Coordinating with hiring managers and Human Resources to setup interviews with candidates
Maintaining office supply inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
Completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.
Interacting and communicating effectively, both verbally and in writing, with all levels of management, employees and customers.
Additional responsibilities will include:
Supporting proposal administrative activities with our proposal management center
Maintaining SharePoint repositories and associated information as it relates to the business area
High School Diploma and 2 years of related administrative support experience
Demonstrated experience and knowledge with various computer software including high level skills using Microsoft programs (Access, Excel, PowerPoint and Word)
Experience and knowledge in operating of standard office equipment such as copiers, telephones, fax machines and scanning equipment required
Excellent communication skills with ability to interact with various departments
Ability to work in a fast paced and dynamic environment
Detail oriented skills are a must
